How to Organize Google Drive

If you have used Google Drive, then you know how difficult it is to manage the drive (at least for beginners) because of lack of various organizing features. Few similar services like Evernote have a huge range of options to organize any content. Hope Google too adds such features in near future! Now, let’s know how to organize google drive with these limited available options.

Organize Google Drive Using Folders

This is the first thing which comes in mind while organizing google drive. You can categorize all your content into different folders. All know this, nothing to speak more. Just click on “New” option at the top left of Google Drive’s homepage and create folders.

Naming Convention for Files and Folders

Naming Convention can be very useful in the long run. As the number of files increases in the drive, it becomes harder to recognize and differentiate files. Using thoughtful names for files and folder can help a lot in such situations. This can be a short name of the content in the file, sorted numbers, alphabets, etc.

Using Description for Files and Folders

A step ahead of the naming convention. You can add a description to your files and folders which can be longer than the traditional naming convention. This can help in recognizing the content of a particular file without actually opening it. To add a description, select the file or the folder, click on the “i” icon at top right and then click on “Add a Description” option.

Sort Files by Size in Google Drive

There is no direct option to sort files in Google drive. Sorting files are useful especially while deleting files to save space in Google Drive. To organize Google Drive, this is the minimal option required, but it is not readily visible to first-time users. To sort files by size, hover over “Upgrade Storage” at the bottom left and then select “Drive” option. Then you can click on “Quota used” option to sort the files in ascending or descending order based on size.

Add Files Without Increasing Size of Google Drive

This is the most interesting option in Google drive, though not readily visible. Using this option, you can make the presence of the same file at multiple locations without increasing the storage space of the drive. It is like hard linking in Unix based operating systems. In the back-end, drive stores only one copy of the file but has multiple links to open the same file. This is applicable for both files and folders. To add a file at other location, select and highlight the file, and then press Shift+z on your keyboard (hold down shift and then press z). “Add here” options box will appear. Select the destination location and add the file there.

Few important thinks to note while using this option:

  • After you have created multiple links of same files, deleting any one of them will delete all the links.\
  • If you want to delete only a specific link and keep all other links as it is, select and highlight the link file, then click on “i” icon at top right and watch out for the location option in the sidebar. If multiple links are associated with the file, then all those locations will be shown. To remove a particular link, click on the cross mark beside the link’s location.

Add Star to Files to Organize Drive

This is same as the starred emails option inside Google mail. Adding a star to important files or folders will make it available under the Starred option in the left sidebar. Click on the three vertical dots at the top right and select the “Add Star” option.

Using Search and Filters to Locate Files

The Search option in Google Drive is somewhat more powerful than other options to locate files with ease. This search can be filtered based on different criteria like type of file (pdf, word, ppt, text, audio, video, etc.), modification date, file name, words of the file name, owner of the file, location of the file, etc. Just click on the downward arrow next to the search bar in Google drive to view all the available filters.

Using Different Colors for Folders

By default, the color of a folder icon in Google Drive is gray. You can change it into something else to quickly recognize the folder without even looking at folder name. This can be more useful when used in combination with the naming convention of folders. Select and highlight any folder, click on three vertical dots at the top right and then select the change color option. There is no option for custom color, and you have to choose from one of the existing colors.

Manage Versions of the Same File

This is a good option for organizing Google drive. You can upload multiple revisions of same files, and all of them will be available under one file name. This prevents cluttering of Google drive with various versions of the same file. Most of the times these changes are minute and naming each version is time-consuming and unnecessary. Select any file, right-click on it and choose the option “Manage Versions“. You will be able to upload a new revision of the same file. One thing to note is that Google drive stores the older version only for 30 days. To keep it forever, click on the options menu beside the older version and select “Keep it Forever” option.

The game of cricket has craze all over the world. If you are too a fan of it, then this google search trick is for you. With this google search tip, you can find cricket scores and cricket schedules of all on going matches in a summarized way. Just type in google:

4. Find Your IP Address

In simple terms, IP address is a set of numbers which is used to identify any device connected to Internet. Any device connected to Internet will have it. Want to know your IP address? Type in google:

5. Current Stock Market Details

Interested in stocks? Here is a google search trick which will give you nice graphical representation of stock details of your favourite company. Just type:

company_name stock. Like Apple stock, Reliance stock etc.

6. Google Cache

Did you ever clicked on a link on google search result to find that the visited site is offline or down for some reason? Still if you want to check something on the site, you can do it through google cache. Google caches the pages of all the sites of the internet so that they can be viewed even when there’s some problem with the server. Just enter the word cache before your site url (website full address):

cache site_url or you can make a normal search and click on the down arrow at the end of url and click cached.

7. Solve Mathematics Problems

Google can even solve math problems for you and help you in your homework. Just type:

solve figure_name

Like solve cylinder or solve circle. In the result you will find option to give inputs and get outputs. Also there is a option to find different parameters related to a figure like area, volume, surface area etc directly in the result.

8. Find Flights

With this google search tip you can find all the flights from a place to your destination. Suppose if you want to find the flights from Hyderabad to Delhi, type in google:

Clicking on more option at the bottom the result will get you further details.

9. Find Restaurants Near by

Like Chinese food? Or want to taste Italian one. You can find the restaurants near by using this google search tip. Just type:

Also you will find a map at the right of the results so that you can easily locate the restaurant and navigate towards it.

10. Distance Between Two Places

Planning for a holiday and want to know the exact distance between your city and your dreamland? Here is the google search tip in action:

e.g. distance between Delhi to Mumbai. To help you further, you will also find a guiding map from your source to destination at the right.

 11. Time Zone of a Place

With this google search tip you can find how much ahead or behind is the time at a place. It will give you the time zone (pre-defined longitudes) to which that particular area belongs. Type in google:

Like Washington time zone or India time zone.

2. Use Google as an Online Timer

Need a online timer (or stop watch)? Well there is one with google. Just type in google search box:

set timer for <duration/time>

e.g. set timer for 2 minutes or set timer for 5 am

As soon as the timer completes the specified duration, it rings your computer bell and thereby alerting you. You can even stop and reset the timer. It works in pc and high end phones.

3. Use Google as a Calculator

Many basic (even few advanced) calculations can be done directly using google search. If you haven’t done it before, just try writing this in google search

tan(45 degree)*3+1= or (435*3)/5=

4. Use Google to Find Meaning of a Word

Do you want to know the definition or meaning of a word sitting at the back of your mind? Try the following syntax. Along with word definition, you will also find details on pronunciation, parts of speech etc. Here’s how to do it:

5. Know Current Time of a Country/Place

If your watch/mobile doesn’t show up the correct time and you are not before television, then this google search tip may come to your rescue. Type in google search box:

6. Find Currency Rates Using Google

Compare the rate of one currency to other by this syntax directly in google search. To know how much is the value of a US dollar in Rupees, type:

Similarly you can write:

7. Useful Conversions Using Google

A general case of the above search tip, can be used to convert the measurements of a physical quantity from one system of units to other. You may try these conversions:

km to m, cm to m, Celsius to Fahrenheit, kg to pound, foot to yard, amu to kg
or anything else that you want to know.

e.g. 100 m in km or 1 amu in kg

8. Search for Products in a Range

Looking to buy a phone in the range 10000 to 12000 rupees? Want to know if that particular branded item lies in the range of your budget. Well you can now easily do it on google by searching for:

<product name> in <start>..<end>

e.g. Android phone in 10000..12000

9. Get Weather Reports Using Google Search

No need to see newspaper or watch television for weather forecasts, unless you are not connected to internet. 🙂 Google will do it for you. Using this search you can get details about temperature, humidity, winds, clouds etc of your chosen area. Just type:

10. Use Google to Know Sunrise and Sunset timings

Searching for sunrise and sunset timings in the Panchang (Indian calender) daily? But did you ever look at your small screen under your pocket shouting to tell you what you are looking for! Type:

11. Get Public Data of a country

Using this special search you can find public data of any country in google search itself. Google will show the statistics along with the year in which they were recorded and the source from where they were taken. Try these searches:

prime minister of <country name>

12. Capital of any Country/State

Ya, google is there to tell you all. You can easily find the capital of any country/state using google in a blink. Just type:

capital <country/state>

e.g. capital rajasthan


13. Find Roman Numerals of Any Number

It’s good to know that google can even convert any decimal number to its roman numerals equivalent. You just need to type:

<your decimal number> in roman numerals

e.g. 200 in roman numerals

Note: type roman numerals and not roman numeral.

14. Get Your Favourite Movie Details

With google you can find few details of your favourite movie or a movie you have watched recently. Just type:

cast <movie name>

e.g. cast dhoom 3

Not only about the actors of the movie, you can find even more details like director, producer, release date, any sequel of the movie etc. Type:

release date <movie name> for release date.

Similarly the words director, producer, sequel etc.

15. Translate sentences/words to other languages

You can translate words or sentences from one language to any other preferred language within google search. Start it right now by typing:

translate <your text> to <other language>

e.g. translate may i help you in hindi

16. Get Map of a Place

You can get a short map of your required place using this search tip. In pc, when this image is clicked, you will be directly taken to  google maps where you can zoom the map or view its satellite version. Type:

17. Get Flight Timings

Digging websites to get flight timings specially in mobile is somewhat irritating. Try this and get out of your irritation. You can know details like flight source, destination, arrival time, departure time, present status etc. You just need to type the flight name in google search and hit enter.

18. Know Important Dates of a Year

We don’t always have a calender handy to check when is that particular festival this year. With google search it’s all possible. Try this:
